# Handling Overpayments and Underpayments

## What to do when a receivable is paid for more or less than the amount due.

When the amount received on a receivable doesn’t match the Amount Due, Dealius prompts you to decide how to handle the difference. The right choice depends on whether the difference is a rounding discrepancy, a genuine partial payment, or an overage you expect to reconcile later.

---

**The Amount Mismatch Prompt**

When you save a receipt for an amount that differs from the Amount Due, a confirmation pop-up appears listing all associated and affected payables, with four options:

| Option | Use when |
| --- | --- |
| **Clear Open Balance** | The difference is small and not worth pursuing. Zeroes out the remaining balance and adjusts broker payables accordingly. |
| **Create Additional Receivable** | A genuine partial payment where the remainder is still expected. Creates a sub-receivable for the open balance. |
| **Save Payment** | Record the payment as entered and leave the open balance outstanding without adjusting anything. |
| **Cancel** | Return to the form without saving. |

---

**Clear Open Balance**

Use this when a check comes in slightly short — or slightly over — and chasing the difference isn’t worthwhile.

**Availability:** Only when a receipt has been received and **no related payables have been paid yet.**

**How it works:**

- The open balance is deducted from broker payables based on each broker’s commission % on the Deal Profile.
- The Franchise Fee is recalculated based on paid internal broker gross.
- **When the payment received exceeds the invoice amount**, the system accepts the higher amount and adjusts commissions in reverse — broker payables increase proportionally rather than decrease.
- Changes are reflected on the Cash Flow screen.

The confirmation modal shows exactly how the adjustment affects house-paid broker payables and the franchise fee before you commit. Adjustments apply only after you click **Confirm**.

---

**Create Additional Receivable**

Use this when the remaining balance is genuinely still owed.

1. Select **Create Additional Receivable**.
2. Choose a Due Date for the new receivable in the date picker.
3. Click **Approve**.

A new receivable is created with its Amount Due set to the open balance of the parent receivable. Payables are generated automatically against it with the correct allocations.

---

**Writing Off the Difference**

If no further payment is expected and no payables have been paid, enter **$0.00** on the Add Receipt page to write the receivable off entirely. See *Writing Off a Receivable* for the full process.

If at least one broker has already been fully paid, the write-off is blocked.

---

**Current Limitations**

| Limitation | Detail |
| --- | --- |
| Overages cannot be applied to the next invoice | An overpayment is absorbed into the current receivable’s commission allocation. It cannot be carried forward and applied against a future invoice on the same deal. |
| Brokers cannot be selected for the difference | When clearing an open balance, the difference is distributed across brokers by their commission percentage. You cannot choose which broker absorbs an overage or shortfall. The current workaround is to undo the payment and manually adjust broker splits on the deal — which is the problem this open request aims to solve. |
| Expenses are not recalculated | Clear Open Balance does not adjust deal expenses. |
| Multiple receivables cannot be processed together | Each receivable must be handled individually. |
| Recurring receivables cannot be adjusted evenly | There is no bulk way to redistribute an amount across a set of recurring receivables. |

---

**Common Error Messages**

**“\[Rep side\] commission paid or customized amount X could not exceed expected amount Y”**

The amount being applied exceeds what the system expects for that broker on this receivable. This typically occurs when attempting a write-off or adjustment on a payable that has been customized, or where broker gross was previously reallocated. Reset any payable customization before retrying.

**Deals overpaid before 2021**

Deals that were overpaid under older accounting logic may not respond correctly to Clear Open Balance or write-off actions. These deals require accounting to be regenerated. Contact [support@dealius.com](mailto:support@dealius.com) — this requires Super Admin access.

---

**QuickBooks Behavior**

**Underpayment synced from QuickBooks:** When an invoice is underpaid in QuickBooks, the integration creates a **sub-receivable** in Dealius for the remaining balance, rather than leaving an open balance with no follow-up record.

If additional payments are later added against the same QuickBooks invoice, those amounts sync to the single Dealius receivable, are summed, and the latest payment date is stored — but only while payables for the first transaction remain unpaid.

**Controlling when payables sync:** The **Sync Only Pending Payables** setting under *Admin \> System Settings \> QuickBooks Integration* (disabled by default) prevents payables syncing to QuickBooks until their invoice is paid. When enabled:

- Closing a deal syncs invoices only, not payables.
- Payables sync once the invoice is paid.
- If a payment is deleted and the invoice becomes outstanding again, the associated payable is deleted in QuickBooks.

This setting applies only from the point it is enabled — payables already synced are not retroactively removed.
