CRM Pro Tasks

Create, manage, and track tasks across CRM Pro - from the Tasks page or anywhere in the platform.

The Tasks Page

The Tasks page is accessible from the main menu and gives you a full view of all your tasks in one place. Use the tabs at the top to filter by task type:

  • All — every task regardless of type
  • Call — phone call tasks
  • Email — email follow-up tasks
  • Meeting — scheduled meeting tasks
  • To Do — general action items

Creating a Task

Click + Task to open the Create Task form and fill in the following:

Field Notes
Task Type Call, Email, Meeting, or To Do
Task Name Required
Due Date Required
Priority High, Medium, or Low
Status Planned, In Progress, or Done
Assigned To Defaults to you — can be reassigned
Linked to Contacts Search and select one or more contacts
Linked to Company Search and select a company
Linked to Property Search and select a property
Linked to Deal Search and select a deal
Linked to Listing Search and select a listing
Linked to Opportunity Search and select an opportunity
Notes Optional free-text field

Task Status & Priority

Each task card displays its current status and priority at a glance.

Status:

  • Planned — task is scheduled but not started
  • In Progress — task is actively being worked on; shows a completion percentage if a checklist is attached
  • Done — task is complete; disappears from the active list after the page is refreshed

Priority:

  • High
  • Medium
  • Low

Searching & Filtering Tasks

Use the Advanced Search on the Tasks page to find tasks by:

  • Linked to Contacts
  • Linked to Company
  • Linked to Property
  • Linked to Deal
  • Linked to Listing
  • Linked to Opportunity

Adding Reminders to Tasks

Coming soon. Task reminders are not available in the current version.

Reminders help you stay on top of follow-ups and critical dates. You'll be able to set a reminder on any task you have access to — even tasks created by or assigned to someone else.

Reminders are personal — only you can see the reminders you set, regardless of who created or is assigned to the task.

Accessing Reminders

The My Reminders tab will be available inside the task pop-up throughout CRM Pro, including in:

  • Tasks page
  • Deals > Tasks
  • Property > Tasks
  • Listing > Tasks

Setting a Reminder

Inside the My Reminders tab, click Set a Reminder. The form includes:

Message — a free-text field for a personal note about this reminder.

Remind — choose when you want to be notified:

Option When you'll be notified
No Reminder No notification sent
At Task Due Time At the exact due date and time of the task
30 Minutes Before 30 minutes before the due time
1 Hour Before 1 hour before the due time
1 Day Before 1 day before the due date
1 Week Before 1 week before the due date
Custom You choose the exact date and time

Recurring Reminders

To repeat a reminder on a regular schedule, check the Repeat checkbox, then enter a number and choose a frequency: Days, Weeks, Months, or Years.

Reminder Notifications

When a reminder fires, you'll receive both an in-app notification and an email. Reminders will automatically stop when the task is marked as Done or the task's due date has passed.

Setting Your Timezone

Reminders are sent based on your personal timezone setting. To check or update it, go to User Settings > Preferences > My Timezone. It defaults to your primary office timezone.


Tasks Throughout CRM Pro

You don't have to go to the Tasks page to manage tasks. They surface throughout CRM Pro wherever they're relevant:

  • Contact Profile — the Tasks widget shows all tasks linked to that contact
  • CRM Dashboard — Upcoming Tasks and Overdue Tasks widgets
  • Opportunity Cards — open tasks linked to that opportunity are shown on the card
  • Outlook Plugin — view and update tasks linked to a contact directly from Outlook
