Contact Profiles

Opening a Contact Profile
Clicking on any contact opens a sidebar with a View button that leads to their full profile page — a centralized view of everything related to that contact: their details, properties, deals, tasks, notes, and activity history.
Navigating the Profile
A sticky secondary menu runs across the top of the profile and lets you jump to any section:
Overview · Timeline · Deals · Opportunities · Comps · Properties · Tasks · Notes · Documents
Contact Information
The top of the profile displays the contact's core details — name, title, company, phone numbers, email, and social media links — along with their Links & Tags and any Linked Contacts.
If a contact has been associated with previous companies, a Former Companies section will appear below their current company information.
Click View More for a quick overview of all contact details.
Properties
The Properties widget shows every property connected to this contact, with the following columns:
ID, Property Name, Street Address, City, State, Zip Code, Building Size, # of Spaces, Submarket, Property Type, Property Interest, Status
Property Interest describes how the contact relates to each property:

| Owner | Contact is listed as the property owner |
| Tenant | Contact is a tenant in a closed lease deal with an unexpired term |
| Other | Contact is listed in the Other Contacts section of the property |
| Opportunity | Contact is linked to an opportunity connected to a listing or property |
| Former | Contact was the seller in a closed sales deal |
| Represented | Contact appears in the Brokers list on a deal or listing |
Click the arrow icon in the widget to go to the full Properties tab in the secondary menu.
Requirements
Requirements track what a contact is looking for — useful for Buyers and Tenants who are actively searching for a property.
To add a requirement, click Add Requirement in the widget and fill in the relevant fields:
For Tenants: Property Type, Asking Rate per SF (range), SF (range), Submarket, Term (from / to), Industry
For Buyers: Property Type, Size (range), Price Range, Submarket, Type of Buyer (Cash, Financing, 1031)
Any saved requirements can be edited or deleted directly from the widget.
Deals, Opportunities & Comps
This widget shows the contact's transaction history. Use the tabs to switch between views:
- Latest Deals — deals where this contact appears in any contact field
- Latest Opportunities — opportunities where this contact is listed as the client
- Latest Lease Comps / Latest Sale Comps — comps where this contact appears in the Brokers list (Broker type contacts only)
Tasks
The Tasks widget shows all tasks linked to this contact. Overdue tasks appear at the top. Click + to create a new task directly from the profile — the contact will be pre-filled in the Linked Contacts field.
Each task card displays: task type, due date, description, status, priority, and assigned to. Tasks in progress also show a completion percentage based on the task checklist.
Click Tasks in the secondary menu to see all tasks for this contact in a full grid view.
Financial Summary
The Financial Summary section is visible for Client, Prospect, and Owner contact types. It shows the broker's gross from closed deals involving this contact, broken down into three views:
- Historical — all time
- Last Year — previous fiscal year
- This Year — current fiscal year
This section is only visible to brokers. It is hidden for Admin Assistants, Office Admins, and Managers (unless the manager is also a broker).
Creating Items from a Contact Profile
The Add New button at the top of the profile lets you create related records without leaving the contact:

| Property | Opens Add Property in a new tab with the contact pre-filled as Owner or Other Contact depending on their type |
| Listing | Opens Add Listing in a new tab with the contact pre-filled (available for Client, Prospect, Owner, and Broker types) |
| Task | Opens the Create Task window with this contact pre-filled in Linked Contacts |
| Opportunity | Opens the Add Opportunity pop-up with the Client Name pre-filled (available for Client, Prospect, and Owner types) |
| Deal | Prompts you to select a rep type, then opens a new deal with the contact's information pre-filled |
Notes
The Notes section is a space to record anything that doesn't fit into structured fields — call summaries, preferences, and context for future interactions.
Key things to know:
- Notes can be Private (visible only to you) or Public (visible based on the contact's permissions)
- Only the note's creator can change it between private and public
- If a public note has replies, the Private/Public toggle is locked
- The profile shows the three most recent notes — click into the Notes tab to see the full history
Notes in CRM Pro follow the same format as notes in Deals, but without a title field.
Timeline
The Timeline gives you a running log of changes made to this contact, grouped as: Today, Yesterday, Last Week, Last Month, and Older.
The following events are tracked:
Contact Info Updates — when a contact's phone, email, permissions, or other details are changed. Updated fields include: First Name, Last Name, Email Address, Title, Mobile Phone, Office Phone, and Permissions.
Company Changes
- When a company is linked as current: "{Company name} has been linked to this contact as the current."
- When a company is moved to former: "{Company name} has been linked to this contact as the former."
- When a company is removed: "{Company name} has been removed from this contact."
Company names are clickable and open the company details.
Tasks
- When added: "{Task name} task has been added." — click to open the task in the Tasks tab
- When deleted: "{Task name} task has been deleted."
Notes
- When added: "A new note has been added." — click to go to the Notes tab
- When deleted: "Note has been deleted."
Requirements
- When added: "A new requirement has been added." — click to open the requirement
- When removed: "Requirement has been removed."
Documents
The Documents section works the same way as Documents in Deals — attach and manage files directly from the contact profile.
Vendor & Other Contact Types
Vendor profiles follow the same layout as Client/Prospect/Owner profiles, with two differences: there is no Requirements widget and no Financial Summary.
Other profiles are more minimal — Properties, Requirements, Deals, and Financial Summary sections are not shown.
The Contact Sidebar
When you open a contact from a list or search result, a sidebar slides in giving you a quick snapshot without opening the full profile.
The sidebar includes:
- Top section — contact type, photo, name, title, social links, Edit and Delete buttons, and a Permissions dropdown
- Contact Info — email, phone numbers, company name and address, website, the most recent note, and a View Contact link
- Connected — Deals — deal cards showing key details:
- Lease deals: property photo, name, address, effective rate, close date, square footage, term, rep type, and status
- Sales deals: property photo, name, address, sale price, close date, square footage, price per SF, rep type, and status
- Tags — all tags assigned to this contact
- Tasks — filterable by priority (High, Medium, Low, Overdue) and status (All, Planned, In Progress, Done)
